Each of these tools is available for a monthly subscription fee for the complete package or a free option for meetings of shorter duration. Teams (https://www.microsoft.com/en/microsoft-teams/) is part of Microsoft's Office suite and integrates well with other Office applications. These meeting tools let you display presentations, your desktop, and your applications to other meeting participants. The meeting software lets you chat through text, voice, or video. To encourage participation, these tools run in Web browsers, on mobile devices, and can support telephone call-in. This charts the process of creating, sharing, and accessing an online meeting. 1. Create a meeting in Zoom Go to Zoom (https://zoom.us/) and sign in. You can create an account and then sign in with your Zoom ID. After logging in, click the Host tab and choose if you want the meeting to include video or just screen sharing. A Web page opens where you can enter meeting information. See Figure 8-14. Follow the steps to create a meeting and receive a meeting ID. The process on Teams is similar. QUICK TIP Web conferencing software includes chatting or instant messaging features so meeting participants can ask questions without interrupting a speaker. 2. Invite participants You must invite the other participants to the meeting through Zoom or Teams. You can invite many other people by sending them an e-mail message that includes the meeting date, time, and a link they can follow to join. Both Zoom and Teams can also send a link in the e-mail message that participants can click to go directly to the meeting page, or they can run the Zoom client and enter the meeting ID manually. 3. Start the meeting When you set up the meeting, Zoom and Teams will send you an e-mail invi- tation along with your participants. To start the meeting, open the e-mail message, and click Join Meeting. Zoom and Teams may install some software for you, or update your application if you haven't used it in a while. Before joining the meeting, each user will be shown a screen where they can adjust their audio and video settings. When you conduct an online meeting, everything you display on your desk- top may also be displayed to your participants. Meeting participants can communicate with each other by typing chat messages within the meeting software. When you're finished, close the Web browser to end the meeting. 4. Plan the visuals Gather material for the meeting, including software, documents, and elec- tronic presentations such as Google Slides. Take advantage of the technology to enrich the discussion with video, images, slides, and shared applications. Create a welcome slide to display when participants first arrive so they know they are in the right place. 5. Record the conference Online meetings let you record the conference for people who can't attend.
