وزارة التعليم Ministry of Education 2024-1446 Business Decision Making S1 S2 S3.indb 265 Technology @ Work: Online Collaboration Tools Online collaboration tools such as Google Docs and Office Web Apps are forms of software designed to help teams achieve their goals and are used to stream- line and speed up communications. These communications tools have allowed networks to expand internationally, creating connections between people who would never normally meet. Online collaboration tools are often organized into three categories: communication tools, conferencing tools, and coordination tools. All of these tools are especially helpful for virtual teams and are explained below. 1. Communication tools You use electronic communication tools to exchange messages, as in e-mail, or keep in touch with a team and its project. Wikis allow team members to share documents and information. For example, Wikipedia (https://en.wiki- pedia.org/), an online encyclopedia, is a well-known wiki. An online group. such as Windows Live (outlook.live.com) works in a similar way. DEFINITION Wiki: A Web site that many users can contribute to by creating and editing the content. 2. Conferencing and collaboration tools You use online conferencing and collaboration tools to quickly share infor- mation. For example, instant messaging is a form of basic online conferenc- ing. Web conferencing tools like Microsoft Teams, Zoom, and Skype may be used to conduct online meetings, especially when you want to share one user's desktop with another. More recent conferencing tools include those that let you and at least one other team member access a shared application or document from your computers at the same time. For example, Microsoft Office 365, available with Microsoft Office, provide online versions of some Office software and let you store, edit, and share documents with other Office users. Coordination tools This category of online collaboration tools includes online calendars, such as Google Calendar (www.google.com/calendar), which lets you or your team schedule events and notify team members. Kanban board systems (see Figure 8-13) help you schedule, track, and chart the steps in a project as it is being completed.
